Cancellation Policy

This Cancellation Policy (“Policy”) sets out the terms on which a Trainee may cancel an enrolment, the refund (if any) to which the Trainee is entitled, & the consequences of cancellation or batch transfer. This Policy applies to all programmes offered by Veerashraya Academy™ (“the Academy,” “we,” “us,” or “our”) through www.veerashrayaacademy.com & forms part of, & should be read together with, the Academy’s Terms of Use & Privacy Policy.

1.1 Refund Window. A Trainee who cancels their enrolment more than 72 hours prior to the scheduled commencement of the batch (“D-3”) shall be eligible for a refund of 90% of the fee paid. The remaining 10% shall be retained by the Academy as a non-refundable registration & processing fee, covering administrative work, onboarding, & batch-seat allocation already undertaken on the Trainee's behalf.

1.2 No Refund Within D-3. No refund, whether full or partial, shall be payable for any cancellation requested within 72 hours of the scheduled commencement of the batch, regardless of whether the Trainee has attended any session of that batch.

1.3 How to Request Cancellation. All cancellation requests must be submitted in writing to [email protected] from the email address used at the time of registration, stating the Trainee's name, programme enrolled in, & batch details. Verbal requests, including those made over a phone call, will not be processed until confirmed in writing.

1.4 Mode & Timeline of Refund. Eligible refunds will be processed to the original payment method through Razorpay within 7–10 business days of the Academy confirming eligibility. Any charges levied by the payment gateway or the Trainee's bank on the refunded amount, where applicable, may be deducted from the refund.

Disclaimers

2.1 No Guarantee of Make-up Sessions. Refunds & batch transfers under this Policy are the Trainee's sole remedy for cancellation. The Academy does not guarantee make-up sessions, recordings, or alternate arrangements for sessions missed due to a Trainee's own absence or late cancellation, except where expressly agreed by the Academy in writing.

2.2 Accuracy of Cancellation Requests. The Academy will calculate the 72-hour refund window based on the time at which a written cancellation request is received at [email protected]. The Academy is not responsible for delays in refund eligibility caused by a Trainee sending a request to an incorrect email address, through an unmonitored channel, or with incomplete details.

2.3 Statutory Rights Unaffected. Nothing in this Policy is intended to limit any right a Trainee may have under applicable consumer protection law that cannot lawfully be excluded or limited by agreement.

Limitation on Liability

3.1 Liability Capped to Refund. The Academy’s entire liability to a Trainee in connection with cancellation, batch transfer, or postponement of any programme shall be limited solely to the refund, if any, payable under this Policy. The Academy shall not be liable for any indirect, incidental, or consequential loss — including loss of preparation time, opportunity, or any other loss — arising from a cancellation, transfer, or postponement.

3.2 Third-party Processing Delays. The Academy shall not be liable for any delay in the receipt of a refund caused by the payment gateway, the Trainee’s bank, or other third parties involved in processing the transaction.

3.3 Force Majeure. Where the Academy is unable to conduct a batch as scheduled due to causes beyond its reasonable control (including natural disasters, internet or power outages, governmental action, pandemic, or trainer unavailability due to medical emergency), the Academy’s liability shall be limited to offering the Trainee a transfer to a rescheduled or alternate batch, or a refund, at the Academy’s discretion & in accordance with Section 5.2 of this Policy.

Access to Training Material on Cancellation

4.1 Revocation of Access. Upon cancellation of an enrolment, the Trainee’s access to recorded sessions, study material, question banks, & any other training material (“Training Material”) associated with the cancelled batch shall be revoked with immediate effect, regardless of whether a refund is payable under this Policy.

4.2 Deletion of Downloaded Material. Any Training Material downloaded or saved by the Trainee prior to cancellation must be deleted & must not be retained, shared, copied, or used for any purpose following cancellation, in accordance with the Copyright Policy set out in the Academy’s Terms of Use.

4.3 Transfers. Where a Trainee transfers to a later batch under Section 5.1 instead of cancelling, access to Training Material shall continue uninterrupted, subject to the Academy’s right to update or replace material between batches.

General

5.1 Batch Transfer. In lieu of cancellation, a Trainee may request a one-time transfer of their enrolment to a later batch of the same programme, subject to seat availability in the requested batch & provided the request is made before the D-3 cut-off in Section 1.2. Only one such transfer is permitted per enrolment; any subsequent request to cancel or change batches will be treated as a cancellation & governed by Sections 1.1 & 1.2 above.

5.2 Academy-Initiated Cancellation or Postponement. If the Academy cancels or postpones a batch for any reason, the Academy will notify affected Trainees as soon as reasonably possible. The Trainee may elect, within 7 days of such notice, to either: -

(a) Receive a full refund of the fee paid for that batch, or

(b) Transfer, at no additional cost, to the rescheduled batch or another batch of the same programme.

Note - If no election is communicated within this period, the Academy will carry the Trainee’s fee forward to the next available batch of the same programme.

5.3 Governing Law & Jurisdiction. This Policy shall be governed by & construed in accordance with the laws of India. Any dispute arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana.

5.4 Amendments. The Academy may revise this Policy from time to time by posting an updated version on the Website. Such revisions will apply to enrolments made after the updated Policy is posted & will not retroactively reduce the refund entitlement of a Trainee who enrolled under an earlier version of this Policy.
